How to Reduce PDF File Size (Without Uploading It)

A PDF is usually “too big” for one of two reasons: it contains scanned pages or photos, or it embeds large images at print resolution. Text itself takes very little space. That is why the right fix depends on what is inside the file.

The quick way

  1. Open the Compress PDF tool and drop your file onto the page.
  2. Pick a level: light, recommended or strong.
  3. Compare the size before and after, then download the smaller copy.

The file is compressed by your browser on your own device. It is never uploaded, so this is safe for contracts, IDs and bank statements.

Which level should you choose?

Your PDF Level to try What happens
Mostly typed text (exported from Word) Light The file is rewritten more efficiently. Text stays selectable and searchable.
Scans or many photos Recommended Each page is redrawn as an optimized image. Big savings, good readability.
A huge scan that must fit a strict limit Strong Smallest result. Fine print may get softer, so check it before sending.

With recommended and strong, every page becomes an image. That shrinks scans dramatically, but text on those pages can no longer be selected or searched. Keep the original if you need that.

Why did my PDF barely get smaller?

A PDF made of plain text is already compact, so there is little to remove. If the light level saves almost nothing, the file is probably as small as it reasonably gets. Two other options:

Common size limits

Start with recommended. If the result is still above the limit, try strong, then check the smallest text on the page before you send it.

Keep the result with your work

After downloading, you can choose Save to Workstand to keep the compressed copy in your PDFs folder and attach it to a project. That copy is written by your browser into your own folder, not uploaded.
