How to Organize Your Personal Digital Workspace
A tidy workspace is not about perfect folders. It is about finding anything in a few seconds and knowing your files are safe.
Use a few predictable folders
Sort by type of file at the top level and by project inside it. openWorkstand creates this structure in the folder you choose:

When you create a document from a project, it goes into Documents/<Project name>/, so on disk your work stays grouped by project too.
Name files so they sort themselves
- Put dates first in ISO format:
2026-10-06 Kick-off notes. - Use the same words every time: “Invoice”, not “Bill” one day and “Invoice” the next.
- Avoid “final”, “final2” and “new”. Version history keeps earlier versions for you.
Let projects hold everything together
Folders hold files; a project holds a whole piece of work. Attach the brief, the budget sheet, meeting notes, events and tasks to one project and open everything from its tabs.
Capture first, file later
Drop quick ideas, links and screenshots into the Inbox, and sort them once a day. Write longer thinking in notes and finished documents in the word processor.
Search instead of browsing
Press Ctrl + K and type a word. Search looks at file names and inside documents, notes, spreadsheets and whiteboards, all on your own device.
Back up
Your workspace is a normal folder, so any backup tool works. You can also download a single .zip backup in Settings and restore it later; nothing is overwritten without asking.
