How to Create a Kanban Board (Free, No Sign-up)

4 min readUpdated October 6, 2026

A Kanban board shows work as cards moving through columns. It makes it obvious what is waiting, what is in progress and what is finished.

Create the board

  1. Open Projects in the free project management workspace.
  2. Start a Blank project (To do, Doing, Done) or a template such as Team sprint.
  3. Add cards with Add task, and drag them between columns as work moves.

Each card can have a due date, a priority, an owner, tags, a checklist and links to the documents it needs. Switch to the List, Calendar or Timeline view of the same tasks at any time.

Three rules that make Kanban work

Limit work in progress. Agree on a maximum for the Doing column, for example three cards per person. Finishing beats starting.

Make the columns match your real process. Content teams might use Ideas → Writing → Review → Scheduled → Published. Rename and add sections to fit.

Review the board together. A short weekly look at blocked and late cards solves more than a long status meeting.

Prefer a visual board?

For workshops and retrospectives, a whiteboard with the Kanban board template gives you sticky notes you can move freely. Select a few notes and choose Create tasks from selected shapes to turn them into real tasks.

Just a personal list?

If you do not need columns, a simple to-do list with Today and Upcoming may be all you need.
